Venue choice is a logistics decision

For most corporate formats, the venue decides the event. Convention centres take large delegate counts and give you real load-in access and rigging points, which a hotel ballroom cannot always offer. Hitec City and Gachibowli hotels are stronger when delegates are staying on site and the sessions are smaller. Where your audience is flying in, proximity to Shamshabad matters more than the ballroom itself. We shortlist against delegate numbers, session format, load-in windows and budget rather than by photographs — the same discipline we apply to venue selection generally.

Production, not decoration

A corporate stage has to work on camera and in the room at once. We design the set, specify the LED and audio, plan the cue sheet with your presenters, rehearse the transitions and run the show from a console rather than from the floor. Our production team builds the set itself, which keeps the schedule and the finish under our control.

Delegate management

Registration, badging, seating plans, dietary tracking, hotel blocks, airport transfers and a help desk that answers to your delegates instead of to your HR team. For multi-day formats we publish a printed and digital agenda and keep it current when sessions move.

Procurement and paperwork

We work to purchase orders, raise GST invoices against an Indian company account, and provide the vendor documentation, insurance and venue compliance paperwork your finance and legal teams will ask for before the first payment goes out. Budget variance is reported against the approved plan rather than at the end.

Timelines

A conference for several hundred delegates is comfortable at eight to twelve weeks. Award nights and launches with custom set builds want longer. Town halls and smaller sessions can be turned around in three to four weeks when the venue is available.
